Admin Hours Back Tracker: A Free Notion Template for Coaches
A simple tracker for the admin that eats your week. List each recurring task, put rough minutes next to it, and see it in hours a month. Each row points to the workflow that can take a chunk of it off your plate, and you track whether it actually did.
How do I track admin time in Notion?
Make one database row per recurring admin task (recaps, call prep, posts, email, invoices, onboarding, tools), with a Minutes per week number and a formula that turns it into hours a month (minutes × 4.33 ÷ 60). Sort by hours, pick the top row, and try one workflow for two weeks. Then log the new minutes so the time saved is your own number, not a guess. This template has that set up already.
Want a quick estimate first? The admin hours calculator does the same math in a minute, with no signup.
What's inside
- A tracker database with Task, Category, Minutes per week, Hours per month (formula), the workflow that replaces it, a link to that workflow, Status (Not started, Trying it, Saving time, Keeping it manual), Minutes after, and Minutes saved per month (formula).
- 7 starter rows, one for each admin area in the calculator, already matched to a workflow:
| Admin task | Workflow that replaces it |
|---|---|
| Session notes and client recaps | Coaching Call Transcript to Client Recap + Action Items In the free guide |
| Discovery call prep and follow-up | Discovery Call Prep Brief in Five Minutes In the free guide |
| Social posts and content | Turn One Voice Memo Into a Week of Social Posts In the free guide |
| Email and DMs | Inbox Triage Agent That Drafts Replies in Your Voice |
| Invoices and payment reminders | Client Payment Reminders Without the Awkward Chasing |
| Onboarding new clients | Client Onboarding Packet From Your Discovery Call Notes |
| Fixing, setting up, and logging in to tools | AI Tool Stack Audit: Keep One Tool Per Job |
- 3 copy-paste prompts, word for word from the public pages: Rank my time sinks (from the weekly admin time audit), Session recap (from transcript to client recap), and Discovery call brief with its context block (from discovery call prep).
- A "where this breaks" list, so you don't count setup time as savings or try three workflows at once.
Nothing in the template asks for client names or details. Before you paste client material into any AI tool, read using AI for session notes without breaking client confidentiality.

A one-click Notion duplicate link will be added here. Until then, the CSV gives you the same tracker in about 3 minutes.
Set it up in Notion
- In Notion, open the page where you want the tracker. Click Import in the sidebar (or Settings > Import), choose CSV, and pick the file.
- Change three column types (click the column name > Edit property > Type): Minutes per week and Minutes after to Number, Status to Status, and In the free guide to Checkbox.
- Change Hours per month to a Formula and paste:
round(prop("Minutes per week") * 4.33 / 60 * 10) / 10 - Optional: add a Formula property Minutes saved per month:
if(empty(prop("Minutes after")), 0, round((prop("Minutes per week") - prop("Minutes after")) * 4.33))
Or use Google Sheets or Excel
Open the CSV, then in the first empty Hours per month cell (D2) type =ROUND(C2*4.33/60,1) and fill it down.

How to use it
- Fill in Minutes per week for each row. A rough guess is fine. Round to 5 or 15.
- Sort by Hours per month. Your top 2 or 3 rows are your biggest time sinks.
- Pick one row and open its workflow. Set Status to Trying it, set it up once, and use it for 2 weeks.
- Log Minutes after. Then mark it Saving time, or Keeping it manual if it wasn't worth it.
Not sure your guesses are right? Log one real week with the weekly admin time audit and paste it into the first prompt.
Where this breaks
- Guessing low. Admin hides in small pieces, so a guess usually misses some of them. Log one real week if your numbers feel small.
- Trying three workflows at once. Two weeks of one tells you more than a weekend of three.
- Counting setup as savings. The linked workflows take about 20 to 45 minutes to set up once. Count from week 2.
- Skipping the review. Every prompt makes a first draft. Read it before anything reaches a client.
