AI Workflows for Coaches and Solopreneurs: Start Here
This is the map. Every workflow in the library is one real job done with the AI chat you already use: the steps in order, copy-paste prompts, the points where you check the output, and where it breaks. Pick the job that's eating your evenings and start there.
What is an AI workflow for coaches?
An AI workflow is a repeatable way to hand one job to an AI tool like ChatGPT, Claude, or Gemini. It isn't a single prompt. It's the order you do the job in, what you paste in at each step, the prompt for each step, and the point where you check the output before it reaches a client.
Most coaches get the most time back from three jobs first: discovery call prep, session recaps, and a week of posts from one voice memo. Those three are the free guide.
Not sure which job to start with?
Use the admin hours calculator. It takes about a minute, needs no signup, and shows which tasks take the most of your month, with the workflow for each.
If you only try three
- Turn One Voice Memo Into a Week of Social Posts: You have plenty of ideas when you're walking, driving, or between sessions, but turning them into a week of posts means a blank caption on Sunday night and time you don't have.
- Coaching Call Transcript to Client Recap + Action Items: Clients love a clear recap after each session, but writing one after every call eats your breaks and you end up skipping it.
- Discovery Call Prep Brief in Five Minutes: You know you should research every lead before a call, but between back-to-back sessions you end up walking in cold and asking questions their website already answers.

How to pick your first workflow
- Pick a job you do every week. A workflow you run weekly pays back fast. One you run quarterly gets forgotten.
- Pick a job with a clear finish. "Recap sent" is a good finish. "Better marketing" isn't.
- Time it once before and once after. That's the only honest way to know if it's working for you. Every time-saved number on this site is an estimate.
What these workflows won't do
- They don't send anything to clients for you. You review every output first.
- They don't need new tools or code. If a step uses Zapier or Make, it's optional.
- They don't ask you to paste private client details without consent. See using AI for session notes without breaking client confidentiality.
