AI Tool Stack Audit: Keep One Tool Per Job
It's easy to end up with three AI chat subscriptions, two schedulers, a note app you opened once, and a transcription tool that came free with something else. Each one made sense the day you signed up. Together they cost money, split your work across too many places, and make every workflow harder to repeat. This audit lists everything, maps each tool to the job it actually does, and leaves you with one tool per job and a short cancel list.
Time check: about 60 to 90 minutes, once a quarter. Expect to save some money on overlapping subscriptions (how much depends entirely on what you're paying for), plus time you'd otherwise lose switching between tools. Both are estimates, not measured results.
Who it's for
Coaches and solopreneurs who have signed up for AI tools and apps over the past year or two and suspect they're paying for overlap. It's especially useful before you add another tool.
What you need
- Your subscriptions list: Search your email for "receipt", "subscription", "renewal", and "invoice" for the last 12 months. Check your card or bank statement too, plus the App Store (Settings > your name > Subscriptions on iPhone) or Google Play (Payments & subscriptions).
- A spreadsheet: Google Sheets or Excel. One row per tool.
- Any AI chat tool: ChatGPT, Claude, Gemini, or Grok, to sort and analyze the list.
- 20 quiet minutes with your calendar: To remember what you actually used each tool for.
Example business (fictional): Spark Studio Brand Coaching
Spark Studio is a made-up solo business: a brand coach who helps new coaches find their messaging. Over 18 months they've signed up for a lot of tools. You'll see a slice of their list and what the audit recommended.
The steps
List every tool you pay for or rely on
Use the searches in What you need. Include free tools you rely on, because they count for overlap too. One row per tool, with these columns:
Tool | Plan and monthly cost | Renewal date | What I signed up for it to do | What I actually used it for in the last 30 days | Who else uses it (VA, clients)
Annual plans: divide by 12 so everything is in monthly terms.
Done when: every subscription is on the list, including the ones you forgot about.
Map tools to jobs
Jobs are what you need done, not what the tool calls itself. Most solo businesses need these jobs covered:
- AI chat and writing
- Transcription and meeting notes
- Scheduling
- Email marketing
- Client records (CRM)
- Payments and invoicing
- Files and docs
- Social scheduling
- Design
- Automation (Zapier, Make)
- Course or community hosting
Put each tool next to every job it's doing for you right now. Some tools will show up under several jobs, and some under none.
Done when: each job has a list of the tools currently doing it.
Run the audit prompt
Paste your table. The prompt flags overlap, picks a keeper for each job based on what you actually use, and keeps you honest about switching costs.

Below is a list of the tools I pay for or rely on, with costs and how I actually use them. 1. JOB MAP: for each job (AI chat and writing, transcription, scheduling, email marketing, CRM, payments, files, social scheduling, design, automation, hosting), list which of my tools cover it. 2. OVERLAP: where two or more tools do the same job, say so plainly, with the combined monthly cost. 3. KEEPER: for each job, recommend ONE tool to keep, based on what I actually use (not on features I don't use). Explain in one line. 4. CANCEL LIST: tools to cancel or downgrade, with monthly savings and renewal dates (soonest first). 5. SWITCHING RISK: for each cancellation, what I'd lose (data, automations, client links, files) and what to export first. 6. GAPS: any job with no tool, only if it matters for a solo coach. Use only my list. Do not invent prices or features. If you're unsure whether a tool does something, say "check". MY TOOLS: [paste table]Done when: you have a keeper for each job and a cancel list with renewal dates.
Example: Spark Studio's audit (fictional)
A slice of their list:
ChatGPT Plus | $20/mo | used daily for drafts
Claude Pro | $20/mo | used twice last month
Jasper | $49/mo | signed up for blog posts, not opened in 60 days
Otter Pro | $17/mo | transcripts of client calls
Zoom Pro | $15/mo | calls (also has transcripts on this plan)
Calendly Standard | $12/mo | booking
Acuity | $20/mo | old booking link still in email signatureWhat the audit recommended (trimmed):
- Overlap: three AI writing tools ($89/mo combined). Keep ChatGPT (used daily). Cancel Jasper. Try two weeks without Claude before deciding.
- Overlap: two transcription sources. Zoom's plan already includes transcripts, so test whether they're good enough before renewing Otter.
- Overlap: two schedulers. Keep Calendly, but update the old Acuity link in the email signature first, or new leads will hit a dead page.
- Switching risk: export Otter transcripts you want to keep. Search Zapier for any Zap using Acuity before cancelling.
The prices here are illustrative for the example. Check your own receipts; plans and prices change.
Where this breaks
- Cancelling the tool that quietly runs something. A tool you never open might power an automation or a booking link. Fix: the switching-risk check in step 4.
- Keeping tools for features you might use someday. "It can also do X" keeps a lot of subscriptions alive. Fix: keepers are chosen by the last 30 days of real use.
- Losing data on cancel. Some tools delete data soon after a plan ends. Fix: export first, then cancel.
- Swapping one sprawl for another. Replacing three tools with a new all-in-one you haven't tested. Fix: run the new tool alongside for two weeks before cancelling anything.
- Annual plans hide the cost. A yearly charge you don't see monthly is easy to forget. Fix: convert everything to monthly cost in step 1.
